B.More (the “Site”) is hosted on Wix.com. This Privacy Policy explains what data we collect from visitors, how we use it, with whom we share it, and your rights under UK data protection laws (UK GDPR, Data Protection Act 2018). 3.1 Information You Provide Directly

Contact Forms: When you submit our contact form—whether to request signposting to local services, volunteer, report an issue, or offer your own service—we collect any details you enter, for example your name, email address, telephone number and message content.
Chatbot Conversations: If you use B.More AI, the chatbot records everything you type (including any personal details you choose to share) along with timestamps. The bot does not request names or identify you in any other way.

3.2 Automatically Collected Data

Server Logs: Wix automatically logs your IP address, device and browser type, referring URLs, page-view timestamps and clickstream data. This helps us monitor security and performance.
Cookies and Similar Technologies:
- We use essential cookies to keep the Site and the chatbot functioning correctly (for example session-handling cookies and security tokens).
- No non-essential cookies (such as analytics or marketing cookies) are set unless you explicitly enable them in your browser. There is no analytics or advertising tracking in use on this Site.

4. How We Use Your Personal Data

We use personal data for the following purposes:

To Respond to Enquiries: We use contact form submissions to reply to your messages, signpost you to appropriate support services, coordinate volunteering or partnership opportunities, or address any issues you report.
To Operate and Improve B.More AI: We retain your chatbot conversation data for up to 30 days in order to maintain service reliability, improve response accuracy, and update our database of local recovery resources.
For Security and Fraud Prevention: We review server log data to detect abnormal or unauthorised activity and protect the Site.

5. Cookies and Similar Technologies

We use a GDPR consent banner (provided by Wix) to obtain your permission before placing any non-essential cookies. However, at present:

Essential Cookies (always set):
• Session cookies (to keep you logged in during a visit)
• Security tokens (to protect against cross-site request forgery)
These cookies are strictly necessary for the Site and chatbot to function and cannot be disabled.
Non-Essential Cookies:

6. Data Sharing and Third Parties

We do not sell your personal data. We share information only as follows:

Wix.com: To host, secure and back up data in encrypted form.
Chatbase / OpenAI: B.More AI runs on Chatbase and uses OpenAI technology. Any chatbot data (what you type and when) is processed by these providers. Data may be transferred outside the UK under Standard Contractual Clauses to ensure adequate safeguards.
Service Providers and Partners: If you represent a local service and ask us to include your details, we may share your contact information with B.More collaborators.
Law Enforcement or Regulators: If required by law, we may disclose personal data to comply with court orders or government requests.

7. Data Storage and Security

Encrypted Storage: Personal data (for example form submissions and chatbot logs) is encrypted at rest on Wix’s and Chatbase’s servers.
HTTPS Encryption: All communication between your browser and our Site is secured via HTTPS (SSL/TLS).
Access Controls: Only authorised personnel (Isobel at AI for Good Consulting) can access raw data. Wix and Chatbase staff do not access private databases except under strict confidentiality for technical support.
Backups and Retention: Wix maintains backups and server logs for up to 90 days. Chatbot conversations are retained for 30 days, then permanently deleted.

8. Data Retention

Contact Form Data: Retained only as long as necessary to respond to your enquiry or for any legal requirement.
Chatbot Conversations: Stored for 30 days to help maintain accuracy and service quality; after this period they are permanently deleted.
Server Logs and Backups: Retained by Wix for up to 90 days, after which they are deleted in accordance with Wix’s policies.

9. Your Rights Under UK GDPR

Under UK GDPR and the Data Protection Act 2018, you have the following rights:

Right of Access: You can request a copy of the personal data we hold about you.
Right to Rectification: If any of your data is inaccurate or incomplete, you can ask us to correct it.
Right to Erasure (“Right to Be Forgotten”): You can request that we delete your personal data. We will remove it from live systems within 30 days, subject to legal requirements.
Right to Restrict Processing or Object: You can ask us to limit processing or to stop processing altogether (for example, if you no longer wish to use the chatbot).
Right to Withdraw Consent: If we rely on consent (for example, to store chatbot data), you can withdraw it at any time. This will not affect data processed before you withdrew consent.

10. Children’s Privacy

We do not knowingly collect personal data from children under 13. If you believe your child has provided personal information to us, please contact Isobel@aiforgoodconsulting.co.uk, and we will delete any such data promptly.

We may update this Privacy Policy to reflect changes in our practices, legal requirements or Wix’s platform. The “Last updated” date at the top indicates the current version. If we make significant changes, we will notify you via a banner on the Site.
